Thanks for the practical information we need to set up our bookkeeping systems. I appreciate the checklists and specifics!
One question: do you have to keep both the itemized bill for a credit card purchase and the signed copy? I know the signed copy includes the tip, but do you need the itemization for tax backup?
OK, one more question: does or how does the system change for doing this paperless or almost paperless?
Monica – you are so welcome! Here are the answers to both of your questions:
1) I am assuming the credit card receipts are for eating out at restaurants. If you are given an itemized receipt to keep, keep it – along with the summary you signed and added the tip amount on. We don’t always get an itemized receipt to keep though. Most important is be sure to write who you were with and the purpose/topic of discussion to substantiate it as a business expense. An auditor “may” ask for the itemized detail if they are focusing on your entertainment expenses in an audit. It really depends if this is an area that seems extremely high.
2) If you use a paperless or semi-paperless approach, create a folder for the current year and save your files there using a clear and consistent file naming convention. In most cases you will want some sub-folders too so the files are a bit more organized. No need to overdo it though if you have clear file names. At year end, be sure to put your current year folder onto a CD (which would be your tax backup) and store it in with your tax return.
